Features Guide

Tosang is packed with features designed to make task management powerful yet intuitive. This guide covers everything you need to know.

Boards

Boards are the top-level containers for organizing your work. Think of each board as a separate project or area of focus.

Board Features

  • Multiple Boards: Create as many boards as you need
  • Custom Logos: Upload a unique logo for each board
  • Board Sharing: Collaborate with others by sharing boards
  • Quick Switching: Use the board dropdown to quickly switch between boards

Managing Boards

Right-click on a board in the dropdown menu to access board properties where you can:

  • Rename the board
  • Change or remove the board logo
  • View and manage who the board is shared with
  • Delete the board (this also deletes all columns and tasks)
Warning: Deleting a board is permanent and will remove all associated columns and tasks. This action cannot be undone.

Columns

Columns represent the stages or statuses in your workflow. They provide visual organization for your tasks.

Column Features

  • Flexible Naming: Name columns anything that fits your workflow
  • Drag Reordering: Rearrange columns by dragging their headers
  • Task Count: Each column shows the number of tasks it contains
  • Edit & Delete: Click the menu icon on a column header to edit or delete

Best Practices

  • Keep column names short and descriptive
  • Arrange columns left-to-right to represent your workflow progression
  • Consider adding a "Blocked" or "On Hold" column for tasks that can't proceed
  • Use a "Done" or "Completed" column to track finished work

Tasks

Tasks are the individual work items in your board. Each task can contain rich information to help you stay organized.

Task Components

Component Description Required
Title A brief, descriptive name for the task Yes
Description Additional details, notes, or context No
Priority Importance level (Low, Medium, High, Urgent) Yes (default: Medium)
Due Date Target completion date No
Tags Categories or labels for organization No

Task Actions

  • Mark Complete: Click the checkbox to mark a task as done
  • Edit: Click on a task card to open the edit modal
  • Move: Drag tasks between columns or reorder within a column
  • Delete: Use the delete option in the task edit modal

Priorities

Priorities help you focus on what matters most. Each priority level has a distinct visual indicator.

Low For tasks that can wait or have flexible timelines
Medium Standard priority for regular tasks
High Important tasks that need attention soon
Urgent Critical tasks that need immediate action
Tip: Use "Urgent" sparingly. If everything is urgent, nothing is. Reserve this for truly time-critical items.

Due Dates

Due dates help you track deadlines and stay on schedule. Tosang provides visual indicators to help you identify upcoming and overdue tasks.

Due Date Indicators

  • On Time: The due date is more than 2 days away
  • Due Soon: The due date is within 2 days
  • Overdue: The due date has passed

Setting Due Dates

When creating or editing a task, use the date picker to set a due date. You can also clear a due date if it's no longer relevant.

Tags

Tags let you categorize and organize tasks across boards. Create custom tags with your own colors for maximum flexibility.

Creating Tags

  1. Click the tag icon in the navigation bar
  2. In the "Manage Tags" modal, enter a tag name
  3. Choose a color for the tag
  4. Click "Add" to create the tag

Using Tags

  • Tags can be added to tasks when creating or editing them
  • A task can have multiple tags
  • Tags are personal to you and available across all your boards
  • Common tag examples: "bug", "feature", "documentation", "design", "backend", "frontend"

Managing Tags

In the Manage Tags modal, you can:

  • Edit tag names and colors
  • Delete tags (this removes the tag from all tasks)
